In today’s market, every connection counts—it’s the thin line between a good business and a great one. Engagement Builder ensures no lead falls through the cracks, giving you total visibility into every conversation and the power to never miss a call again.
This article will explain step by step how to correctly set up your email notifications. Lets get into it!
Engagement Builder: Your notifications, your way.
First of all, let me introduce you with the basics:
- Workflow name: here you can choose the name for your workflow. That will help you with better insight as you can create few workflows t.ex. Missed calls, Answered calls, if you have special campaigns and you want to track them separately etc.
- Apply in: sometimes you don't want to include all accounts in this workflow, and you can change so it suits your business. You can either select all accounts or certain accounts. But if you want to use the workflow for almost all accounts but exclude it in one or two (or more) you can tick "Exclude accounts" and there you'll see the option to choose which ones you want to exclude from this workflow.
-
Event and criteria: here's where the fun part begins! Now you decide the conditions when the emails will be sent.
In the drop down menu, you'll get to choose when do you want to receive the emails - when a call ends, for a custom event etc. In this case, you want to select when the call ends as these will be the call email notifications
Next step for you will be to choose a criteria that will trigger the email:
- call duration - you can choose if you specifically want to track calls that lasted for a certain time
- call status - here you can pick if you want to track
Missed, Dropped, Qualified or Unqualified calls (more on the call definitions here) - end number/from number - there are few number options you can choose from
- Kaisa numbers - you can either choose only dynamic or static numbers, or just a certain number
-
if your number contains Media, you can write the name of the Media and then you will receive emails only for calls to those numbers
-
Delivery method:
Since we're talking about the emails, you'll have to choose the "Send an email" option in the drop down menu.
Next up is the email setup. Choose the name of the account this email will be coming from and the email address (this email domain has to be submitted and accepted by Kaisa before any emails are being sent).
In the "to email address" you can either paste hardcoded email address or use one of our macros.
In the email body you can past your own text and you can combine it with our macros that will help you with the information like date and time, end number, Kaisa number, URL etc. More on macros, check this article.
You can add attachments, logos to your email as well.
Here's an example of how an simple email notification can look like:
